1. General Cancellation Terms

We understand that circumstances can change and events may need to be cancelled or rescheduled. Our cancellation policy is designed to be fair to both our clients and our business operations while accounting for the preparation time and resources we dedicate to each booked event.

All cancellations must be communicated in writing through email or official written notice to ensure proper documentation and processing. Verbal cancellations will not be accepted and may result in delays in processing your cancellation request.

The timing of your cancellation determines the refund amount you will receive. Our cancellation policy is structured to reflect the increasing commitment of resources as your event date approaches, including performer scheduling, equipment preparation, and declining opportunities for alternative bookings.

2. Cancellation Timeline and Refund Structure

More than 30 Days Before Event: Full refund minus 10% administrative fee

Cancellations made more than 30 days before your scheduled event date will receive a refund of 90% of all payments made. The 10% administrative fee covers initial consultation time, booking administration, calendar blocking, and processing costs incurred during the booking process.

15-30 Days Before Event: 70% refund of total payments

Cancellations made between 15-30 days before the event date will receive a 70% refund of all payments made. During this period, we have typically begun detailed event planning, confirmed performer availability, and may have declined other booking opportunities for your date.

7-14 Days Before Event: 40% refund of total payments

Cancellations made 7-14 days before your event will receive a 40% refund. At this stage, significant preparation has been completed, final arrangements have been confirmed, and our team has committed substantial resources to your event planning and preparation.

Less than 7 Days Before Event: No refund available

Cancellations made less than 7 days before the event date are not eligible for any refund. By this time, we have completed all event preparations, confirmed all logistics, and typically cannot accept alternative bookings for the same date.

3. Booking Deposit Policy

The initial booking deposit of 30% paid to confirm your reservation is non-refundable under all circumstances. This deposit secures your preferred date and time, blocks our calendar from other potential bookings, and initiates our event planning process on your behalf.

The deposit is immediately applied to administrative costs, initial planning consultations, performer scheduling coordination, and opportunity costs associated with declining other potential bookings for your reserved date and time slot.

In cases where events are rescheduled rather than cancelled, the original deposit will be applied to the new event date subject to availability and any price adjustments that may apply to the rescheduled date.

4. Event Rescheduling Options

We encourage clients to consider rescheduling rather than cancellation when possible. Rescheduling requests must be made at least 7 days before the original event date and are subject to performer availability on the requested new date.

Rescheduling to dates during our peak season (weekends, holidays, festival periods) may require additional payment to account for premium pricing. Conversely, rescheduling to off-peak times may result in reduced pricing that will be credited to your account.

Each booking may be rescheduled once without additional administrative fees. Subsequent rescheduling requests will incur a 15% administrative fee of the total booking value to cover additional coordination and planning costs.

5. Weather-Related Cancellations

For outdoor events, severe weather conditions may necessitate cancellation or postponement for safety reasons. We monitor weather forecasts closely and will contact clients 24-48 hours before outdoor events if weather concerns arise.

Weather-related cancellations initiated by our team due to safety concerns will result in full refund or free rescheduling to an available date within 60 days. Clients who choose to cancel due to minor weather concerns follow standard cancellation policy terms.

We define severe weather as conditions including heavy rain, strong winds above 25 mph, lightning, extreme temperatures, or any weather that creates unsafe conditions for outdoor entertainment activities and participant safety.

6. Emergency and Medical Cancellations

We understand that medical emergencies, family crises, or other unexpected circumstances may require event cancellation. In such cases, we will work with clients to find reasonable solutions while considering the timing and circumstances of the cancellation request.

Medical emergency cancellations may be eligible for more favorable refund terms when supported by appropriate documentation such as medical certificates, hospital records, or other verifiable emergency documentation provided within 48 hours of the cancellation request.

Each emergency cancellation will be reviewed individually, and we will make every effort to accommodate difficult circumstances while maintaining fair business practices. Documentation and verification may be required to process emergency cancellation requests.

7. Venue-Related Cancellations

Cancellations due to venue closure, double-booking, or other venue-related issues beyond the client's control will be handled with maximum flexibility. We will work with clients to secure alternative venues or provide full refunds if rescheduling is not possible.

If venue changes require significant modifications to our service delivery, equipment needs, or performer requirements, additional costs or service adjustments may be necessary and will be discussed before proceeding with the modified arrangements.

Clients are responsible for confirming venue availability, policies, and suitability for entertainment services. Cancellations due to venue restrictions discovered after booking may be subject to standard cancellation policy terms unless the restrictions were not disclosed during initial booking.

8. Our Right to Cancel

We reserve the right to cancel services under certain circumstances including performer illness, family emergencies affecting our team, unsafe venue conditions, failure to receive required payments, or situations where we determine we cannot safely or effectively provide the contracted services.

If we must cancel your event, you will receive a full refund of all payments made, and we will make every effort to refer you to other qualified entertainment providers in the Bangalore area to minimize disruption to your event plans.

Our cancellation of services due to client behavior, inappropriate requests, unsafe conditions, or non-compliance with our service requirements will not result in refunds and may result in additional charges for preparation costs already incurred.

9. Refund Processing

Approved refunds will be processed within 7-10 business days of cancellation confirmation using the same payment method used for the original transaction. Bank transfers may take additional time depending on your financial institution's processing procedures.

Refund amounts will be calculated based on the total payments received minus any applicable fees according to our cancellation timeline. Administrative fees, processing charges, and non-refundable deposits will be deducted from the refund amount as specified in this policy.

Clients will receive written confirmation of the refund amount and expected processing timeline. If you do not receive your refund within the specified timeframe, please contact us immediately for investigation and resolution.

10. Special Circumstances and Exceptions

Force majeure events including natural disasters, government restrictions, public health emergencies, transportation failures, or other circumstances beyond reasonable control may require special consideration of cancellation and refund terms.

During declared emergencies or government-mandated restrictions affecting events and gatherings, we will work with clients to reschedule events when possible or provide appropriate refunds considering the extraordinary circumstances affecting all parties.

Each special circumstance will be evaluated individually with consideration for fairness, business sustainability, and the impact on both clients and our entertainment team. We are committed to finding reasonable solutions during difficult and unexpected situations.
